The Vegas Drone Meetup is dedicated to promoting safe, responsible, and legal drone operations while fostering education, innovation, networking, and community engagement.

These Terms & Conditions are intended to protect all participants and help ensure a safe, enjoyable, and professional experience throughout the Event.

By registering for or attending the 2026 Vegas Drone Meetup ("Event"), you acknowledge that you have read, understood, and agree to be legally bound by these Terms & Conditions.

Important Note: LAANC authorization is required at Cornerstone Park on Saturday

1. Definitions

For purposes of this Agreement:

Organizer means the Vegas Drone Meetup Committee, its committee members, volunteers, staff, contractors, representatives, and authorized agents.

Event includes all scheduled and unscheduled activities associated with the 2026 Vegas Drone Meetup, including educational sessions, workshops, presentations, demonstrations, networking events, fly-outs, social gatherings, sponsor activities, and any other official Event functions conducted between November 6 and November 8, 2026.

2. Eligibility

Registration is open to individuals eighteen (18) years of age or older.

Participants under the age of eighteen must be accompanied by a parent or legal guardian unless otherwise authorized by the Organizer.

3. Assumption of Risk

You acknowledge that participation in the Event involves inherent risks, including but not limited to:

• Drone flight operations
• Outdoor activities
• Demonstrations
• Workshops
• Walking on uneven terrain
• Weather conditions
• Battery charging and lithium battery hazards
• Travel between venues
• Interaction with aircraft and moving equipment
• Ordinary risks associated with public gatherings

You voluntarily assume all known and unknown risks associated with attendance and participation.

4. Release of Liability

To the fullest extent permitted under Nevada law, you release, waive, and forever discharge the Organizer and its committee members, volunteers, presenters, instructors, sponsors, exhibitors, venue owners, property managers, partner organizations, participating agencies, contractors, employees, officers, and representatives ("Released Parties") from any and all claims, liabilities, demands, damages, losses, costs, or causes of action arising out of or related to your attendance or participation in the Event, including claims involving personal injury, illness, death, property damage, theft, or other loss, except where prohibited by applicable law.

5. Drone Operations

Participation in the Event does not authorize any drone flight that would otherwise violate Federal Aviation Administration regulations or other applicable laws.

Any attendee operating a drone remains solely responsible for ensuring that each flight is conducted safely and legally.

Each pilot agrees to comply with:

• FAA regulations
• Remote ID requirements
• Airspace restrictions
• Temporary Flight Restrictions (TFRs)
• Local ordinances
• Property owner requirements
• Event flight procedures
• Any instructions issued by designated Event Safety Officers

Pilots are solely responsible for obtaining any required FAA authorization prior to flight.

Incident Reporting

Attendees operating a drone during any Event activity shall immediately report any of the following incidents to an Event Safety Officer or other designated Event staff, regardless of the severity of the incident:

• A drone crash or hard landing
• A flyaway or loss of control
• Any collision involving a drone
• Property damage
• Personal injury or illness related to drone operations
• Any incident involving a spectator, participant, vehicle, structure, wildlife, or other aircraft
• Any event that may require notification to the Federal Aviation Administration (FAA) or other governmental authority

Attendees shall cooperate fully with Event staff in documenting the incident and implementing any necessary safety measures. Reporting an incident to the Organizer does not relieve the operator of any obligation to comply with applicable FAA reporting requirements or other legal reporting obligations.

6. Equipment Responsibility

Each attendee is solely responsible for safeguarding their personal property, including but not limited to:

• Aircraft
• Controllers
• Batteries
• Cameras
• Mobile devices
• Computers
• Chargers
• Accessories
• Personal belongings

The Organizer is not responsible for lost, stolen, misplaced, or damaged property.

7. Personal Conduct

The Vegas Drone Meetup is committed to providing a safe, welcoming, professional, and respectful environment.

Participants agree to conduct themselves professionally at all times.

Prohibited conduct includes, but is not limited to:

• Harassment
• Discrimination
• Threatening behavior
• Intimidation
• Physical violence
• Unsafe drone operations
• Intentional damage to property
• Illegal drug use
• Excessive alcohol consumption resulting in unsafe behavior
• Disruptive conduct
• Unauthorized commercial solicitation
• Recording presentations where prohibited by the presenter

The Organizer reserves the right to remove any participant whose behavior is deemed unsafe or inconsistent with the goals of the Event. Removal may occur without refund.

Organizer decisions regarding participant conduct are final.

8. Compliance with Safety Instructions

Attendees agree to immediately comply with all reasonable instructions provided by:

• Event staff
• Volunteers
• Safety Officers
• Venue personnel
• Public safety officials
• Emergency responders

Failure to comply may result in removal from Event activities.

9. Workshops, Demonstrations and Fly-Outs

Participation in workshops, demonstrations, scenic fly-outs, and hands-on activities is entirely voluntary.

Participants acknowledge that these activities may involve additional inherent risks and voluntarily accept those risks.

10. FAA Compliance Notice

The Vegas Drone Meetup is an educational and networking event.

Nothing presented during the Event, including presentations, demonstrations, suggested flight locations, workshops, or instructor guidance, should be interpreted as authorization to violate any Federal Aviation Administration regulation or applicable law.

Each pilot remains solely responsible for:

• Determining whether a flight is legal  - LAANC is required at Cornerstone Park on Saturday
• Obtaining required FAA authorization
• Verifying current airspace restrictions
• Complying with Remote ID requirements
• Operating within applicable FAA regulations
• Maintaining Visual Line of Sight unless otherwise authorized
• Obtaining insurance if desired

The Organizer reserves the right to prohibit any flight considered unsafe or potentially non-compliant.

11. Indemnification

You agree to defend, indemnify, and hold harmless the Released Parties from any claims, demands, liabilities, damages, judgments, costs, expenses, or attorney's fees arising from:

• Your attendance
• Your participation
• Your operation of any aircraft
• Damage caused by your equipment
• Your negligence
• Your intentional misconduct
• Your violation of applicable laws
• Your violation of these Terms and Conditions

12. Photography, Video, Audio and Media Release

The Event will be photographed, recorded, livestreamed, and documented.

By attending, you irrevocably grant the Organizer, sponsors, exhibitors, venue partners, authorized media representatives, and promotional partners the unrestricted, worldwide, perpetual, royalty-free right to photograph, record, reproduce, edit, publish, broadcast, distribute, display, and otherwise use your name, likeness, image, voice, statements, and participation in any media now known or later developed.

Such uses may include:

• Event promotion
• Websites
• Social media
• Advertising
• Educational materials
• Historical archives
• News coverage
• Sponsor recognition
• Future Vegas Drone Meetup marketing

No additional permission or compensation shall be required.

13. Artificial Intelligence and Media Enhancement

Event photographs, videos, and audio recordings may be enhanced using industry-standard editing software and artificial intelligence-assisted tools for purposes including image enhancement, caption generation, editing, restoration, marketing, educational content, and historical documentation.

Such enhancements will not materially misrepresent an attendee's actions or statements.

14. Intellectual Property

The names "Vegas Drone Meetup," associated logos, branding, graphics, schedules, educational materials, website content, and Event-produced publications are the intellectual property of the Organizer unless otherwise indicated.

Presentations remain the intellectual property of their respective presenters.

No attendee may reproduce, distribute, or commercially exploit Event materials without written permission.

Recording or redistributing presentations for commercial purposes without written authorization from both the presenter and the Organizer is prohibited.

Use of the Event name or logo in any manner suggesting sponsorship, endorsement, or official affiliation without written permission is prohibited.

15. Sponsor, Presenter and Vendor Disclaimer

Opinions expressed by speakers, presenters, exhibitors, vendors, sponsors, or attendees are solely those of the individual or organization expressing them.

They do not necessarily represent the views of the Organizer.

Reference to commercial products or services does not constitute endorsement unless expressly stated.

16. Emergency Response

In the event of an emergency, attendees agree to immediately follow the directions of Event staff, volunteers, venue personnel, public safety officials, or emergency responders.

The Organizer may suspend or cancel any activity whenever safety conditions warrant.

17. Medical Authorization

Each attendee is responsible for determining their own physical ability to participate.

Should an emergency arise, the attendee authorizes the Organizer to summon emergency medical assistance when reasonably necessary.

Any resulting medical expenses remain the responsibility of the attendee.

18. Lost and Found

Items turned over to the Organizer will be retained during the Event and for a reasonable period thereafter.

Unclaimed property may be donated or otherwise disposed of at the Organizer's discretion.

19. Event Changes

The Organizer reserves the right to modify schedules, speakers, workshop topics, venues, demonstrations, or Event activities without prior notice.

20. Force Majeure

The Organizer shall not be liable for cancellation, interruption, or modification resulting from circumstances beyond its reasonable control, including severe weather, government action, public health emergencies, FAA restrictions, venue closure, utility failures, labor disputes, natural disasters, or civil disturbances.

21. Refund Policy
    Except as provided below, all registration fees are non-refundable.

If the Event is canceled by the Organizer and is not rescheduled, the Organizer will issue a full refund of the registration fee paid by each registrant. Refunds will be processed using the same payment method used for the original registration whenever practicable and will be issued within fourteen (14) calendar days following the final scheduled date of the Event.

The Organizer shall not be responsible for reimbursing or compensating attendees for any other expenses incurred in connection with the Event, including but not limited to travel, lodging, meals, rental vehicles, airfare, lost wages, or other incidental or consequential costs.

If the Event is postponed or rescheduled rather than canceled, registrations may be transferred to the new Event dates. Any refund requests in connection with a postponed or rescheduled Event shall be handled at the Organizer's sole discretion, unless otherwise required by applicable law.

22. Privacy

Registration information will be used solely for Event administration and communications.

The Organizer will not knowingly sell attendee personal information.

Information may be shared only with service providers necessary to operate the Event.

23. Electronic Communications

By registering, attendees consent to receive Event-related communications including registration confirmations, schedule updates, safety notices, venue information, and post-event surveys.

This consent does not authorize unrelated marketing communications.

24. Governing Law

These Terms shall be governed by the laws of the State of Nevada.

Any dispute arising from participation in the Event shall be brought exclusively in the appropriate state or federal court located in Clark County, Nevada.

25. Severability

If any provision of this Agreement is determined to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

26. Entire Agreement

These Terms constitute the complete agreement between the registrant and the Organizer regarding participation in the Event and supersede all prior discussions or understandings relating to participation.

27. Electronic Acceptance

By completing the online registration process, checking the required acknowledgment box, or attending any portion of the Event, you acknowledge and agree that:

• You have read these Terms and Conditions in their entirety.
• You understand the risks associated with participation.
• You voluntarily agree to be legally bound by these Terms.
• Your electronic acceptance constitutes your legally binding electronic signature.
